MINUTES OF MEETING

7pm Creative Café 12 January 2005

PRESENT: Pete Masters; Jonty Garlick; Bruce Jefferies; Gerry Dance; Lisa Rowland; John Taylor; Thomas Schwarz.

CONFIRMATION OF PREVIOUS MINUTES:  Committee agreed that minutes of 24 November 2004 were a true and correct record.  Accepted by Gerry/Pete

 

MATTERS ARISING:

•          Track Counter for Rotary Ride ongoing - hold up with DOC 

•          Funding Info package  - ongoing 

•          Fix Rotary Sign - Gerry is arranging for a new sign which will be secured to trees. 

•          TARTS issue - resolved 

•          Land Transport Programme submission - Lisa investigated - no need to submit 

•          Control Gates Bridge - Gerry had onsite meeting with Opus.  He to write a letter with Bike Taupo recommendations.  Will possibly be dealt with in a programme or with money on hand.  Needs extending around 70-80 metres. 

•          Christmas Get Together - Great success with around 28 riders who enjoyed a 2 hour ride ending with a couple of drinks at Jolly Good Fellows.

Submissions:

•          Tongariro Domain Structure Plan has been put out to public.  Lisa to prepare a submission to provide a recreational path linking control gates to boat harbour and around to the Great Lake Walkway.  Also to advocate for a cycle/walkway over the Waikato River from Nukuhau to Tongariro domain.  Gerry will email application to Lisa.

 

Funding:

•          Successful with funding received from LePine and Co, Malcolm Flowers and Cheal Consultants sufficient to complete Redwoods track.

•          Keith Crate and the Kinloch community have so far raised around $1,300 towards the Kinloch to Whakaipo track (more below)

 

Road Safety Campaign:

•          January part of campaign to kick off on the 25th with the final Taupo Times ad campaign.  This will be the same four ads in the last run but only using one example per ad instead of four all together for four weeks. 

•          Core Flute signs design has been decided by committee and Lisa will submit to Sign On.  She’ll then take to selected businesses for displaying in their shop front for the rest of the campaign period (beginning of April).  

•          Lisa has made a start to the evaluation process but really cannot be completed until end of campaign. 

 

TDC Cycle Strategy Team

•          Pedal Talk coming.  Gerry sought ideas from committee:  reiterate road safety campaign to coincide with next ad run; advertise Bike to Work day. 

•          Bike to Work day is on 16 February and the Team would like Bike Taupo to lending a helping hand once again.  No problem. 

•          Else Tutert has left the TDC and therefore Cycle Strategy Team is hoping her replacement will also fill her shoes in the Cycle Strategy Team. 

 

Wairakei Forest Park 

•          New tank stand track open 

•          A new track is being added to the corkscrew track for school race events. 

•          Loads more people using inwards/outwoods goods tracks as its being packed down nicely. 

•          Concession Agreement is signed but there is some dispute over the date (they’ve dated it 1/1/04). We believe it should be dated the end of 04. 

•          Bike Taupo is responsible for its members on these tracks (insurance covers this) and the public have the right to be there also. 

 

Acacia Bay to Kinloch Track

•          Still awaiting the dotting of ‘I’s and crossing of ‘t’s regarding an announcement of the hopeful sponsor for the track. 

•          In the meantime support/sponsorship has been confirmed by: 

o         Suncourt Motor Hotel - for helicopter service 

o         Bramley Builders - for bridges 

o         Placemakers - timber 

o         Lake Hire - any equipment needed 

o         Peter Manning Cash Converters - supplying tools 

o         NZ Forest Managers - mapping 

•          Further, Keith Crate has raised around $1,300 to date with fun runs out at Kinloch.  He’d like to raised $5,000 per annum which would go towards maintenance.  The Kinloch community are excited over the news of the track and fully support the venture.  Soon the Kinloch Rate Payers Assn will meet with Bike Taupo representatives to discuss a few things regarding this funding. 

 

 

GENERAL BUSINESS:

•          Lisa mentioned the invitation from Christine Hutchinson to make application for another road safety campaign next year.  We will duplicate the 04/05 campaign. And then in 2006 look at a brand new campaign.

TREASURERS REPORT: Bank Account stands at $19,291.98 (not taking into cheques and accounts on hand to be paid)

Accounts for approval:

•          Tarrant - December $2,362.50)

•          Tarrant - January $1,456.88    )  Redwoods

•          Pete Masters (reimbursement) $109.09 being chainsaw chain; coach screws; brochure holder for Huka Café)

Jonty queried whether we pay the GST on accounts that state GST is inclusive.  The committee advised yes.

Monies in: $1,200 each from three Redwoods Track sponsors, totalling $3,600.00

SUBCOMMITTEE REPORTS:

 

Media and Promotion:

•          Redwoods Track opening will be in February sometime.  Gerry and Lisa suggested it coincide with Bike Week - close to Bike to Work Date on 16 February then advertising could be used at each event. Sign for Track is being made.  A media release will precede the opening. 

 

Website/Membership:

•          New website is now live and all data transferred from old site.   New site looks good and is really easy to use ie. Posting news and photos.  

•          Constitution to be put on and in this regard Thomas will phone Alan’s secretary Pam Schofield at LePines for an electronic copy. 

•          All agreed that the home page should feature photos with news stories and only a few lines with the ‘more’ feature used for the rest of the story.  Otherwise home page becomes cluttered and untidy. 

•          Thomas to contact Susan Watson secretary for Cycle Club as they want to be involved with the website also. 

•          Thomas will make a start to imputing dates on the calendar system regarding what’s coming up. 

•          Thomas queried whether we need new members registering online to include their address details.  Committee advised that the constitution states that we can conduct business electronically therefore not necessary to have address option.   

 

•          Constitution needs changing once more.  Needs to state that Bike Taupo ‘can run events’ currently states that we do not run events.  This is because the concession states that we must be the only group allowed to run an events in the Park.  This means for example that Mountain bike races will state ‘Bike Taupo in conjunction with ’

•          Still some Horse Trek problems.  Owner was caught red-handed using tracks they had only just said they’d not used and damaged.  All parties have requested the Horse Treks make a full public apology.

•          The cafés have now paid all map sponsorship monies.

 

Maintenance:

•          Craig has now finished his allocated 12 weeks maintenance.  But will now do another 4 weeks as there’s been a lot of growth which needs controlling.  He’ll start this 4 weeks period once PD comes back.

•          The realignment of Huka Hill is almost complete around 25 metres to go. John, Kevin, Pete, Peter McFarlane, Chas and Craig have been chipping away at it.  It adds another 250 metres to the Rotary Ride.  The old downhill will be filled in as DOC won’t allow it to be operable.

•          A new track is being done to the Buzzard.

•          A new link to the Young Pines track

•          Shortly looking at reopening Hansel and Gretel tracks.

•          Money from TDC for maintenance has been the best thing to get Wairakei Park and adjacent areas looking good.

•          Rotary Ride - There’s been numerous near misses and a couple of head on collisions (including Banga recently) in the area just north of the Ladder Bridge.  Foliage will be cut back for better visibility and possibly warning signage.

•          Signage is being updated in Wairakei Park and adjacent areas.  This signage includes track grading which needs to be done from now on.  Bike Taupo have graded all tracks and Budgie (Mark Woods) will check grading.  This grading will be consistent with all tracks nationally.  They will look at putting Bike Taupo somewhere on some signage as we now need to tell people who is doing all these changes!

•          Gerry advised that Tara Inglis of Environment Waikato would like copies of the Wairakei Park maps for inserting over topo maps for the regional walking and cycling strategy.  Pete advised that Bill Wheeler is the man who could help her as our maps are not to scale.
