Minutes of Meeting Cycle Advocacy Group - Wednesday 30th July, 2003
At the Creative Café, Marama Arcade, Taupo, 7:00PM

1. PRESENT:            Gerry Dance; Thomas Schwarz; Else Tutert; Pete Masters; Neville Peach; Jonathan Garlick

2. APOLOGIES:          Lisa Rowland

3.         CORRECTIONS TO LAST MINUTES:

Committee agreed that the minutes of 18th June 2003 were a true and accurate record. Accepted by committee (Jonty/Else)

4.         INCOMING/OUTGOING CORRESPONDENCE

•         Letter in from Tranzrail, addressed to Chas Hutton re obtaining some old railway sleepers for use on track (request was declined)

•         Letter out to Nick Gurr at Opus (manage the Transit roading network) requesting the possibility of opening up two culverts north and south of Helistar to connect to Wairakei Tourist Park.

5.         TREASURER’S REPORT

Else and Jonty have both been to the National Bank (NB) and signed all the appropriate papers.  NB were still requiring Bike Taupo’s common seal, so the NB will not be used.  They have approached WestPac, where it seems quite simple, the papers have been filled out and the bank account should all be sorted this week.

7.         SUBCOMMITTEE REPORTS:

Media and Promotion:

•         Media and promotion is all organised to kick off once we get the go ahead to start the Spa Park - Huka Falls Rotary Ride.  Simon Makker from the Taupo Times will do a big article.

•         Other media avenues will also be looked at eg Rotorua Daily Post

•         Ground effect will put an article in their underground newsletter.

•         Jontyhas done some great work on the design and words for the membership postcards and business cards.  Once he has completed he will send out to the committee for approval.

‘For Cycling in Taupo’ was the catch phrase

           Will use Quality Print for the printing of the post cards

•         Bike Taupo Banner was put up at the last round of the Mountain Bike winter series.

Website:

•         Thomas has added Projects tab to menu and Jonty has added some excellent words for the new Rotary Ride Spa Park - Huka Falls Track.

•         Some work done on the links section and is now working well to other sites.

•         Thomas informed the committee that the website was hacked a couple of weeks ago.  It was part of a world wide contest, it was easily fixed.

 

 

Huka Falls/Spa Park Track - Rotary Ride

•         Pete reported that an easement / agreement that has been drawn up by Alan Vane and is presently with Lawyers representing Patuiwi and awaiting there approval and signatures.  The easement will be for a 150-200m x 3m strip of land, it comes with a land access fee of $1000 + GST which we feel is a good deal.  It does secure long term access and a right to be there.  Pete noted the draft has had a few changes in the process but overall the outcomes have changed little.  The overall situation has changed little in the past 6 weeks, however he feels confident that an aggreemnt will be signed in the next few days.

•         The avenue of utilising a similar section along the gun club boundary will still be pursued.  DOC have asked Bike Taupo to send the department a letter with the correspondence that Bike Taupo has had with the Gun Club and also their reasons for sayin no.  Gerry and Pete will draft letter in the next week or so.

Submissions / Funding:

•         Nothing to report except the committee has now has several funding forms awaiting suitable projects.

Membership:

•         Membership is still increasing even though we are in the middle of winter.

•       Aim is still to have the postcard memberships ready for the Day Night Thriller registration packs.  It is Spring so it should be a great opportunity to increase the membership.

TDC Cycle Strategy Team:

•         Else reported that the team hope to present to Council in the next month the teams annual report that highlights what the team achived in the financial year 2002-2003.

•         Gerry reported that he will be presenting a paper at this years NZ Cycling Conference in Auckland in October.  He will be talking about the Cycle Strategy and its implementation.

•         The Taharepa Road - Kotare street island has now been finished.  Pete noted that it could do with another couple of rails, which would make it easier for cyclists.  Else will investigate.

•         Pete highlighted that two gully systems have recently been cleared and that it would be a good idea to send a letter to the Council inquiring of the possibilty of a shared paths within them.  Gerry aggred a good idea and that a letter be sent to Barry Hickling the Parks and Recreaiton Manager.

8.         GENERAL BUSINESS

•         Both Pete and Gerry have had a chat to Murray Flemming re the Day Night Thriller event on 11th October 2003.  It was agreed that the use of the track would be permitted subject to several conditions 1) that the track has actually been built and is rideable; 2) that it hasn’t or is raining on the day of the event, as it is considered this could have an adverse affect on the track and 3) that Murray helps us promote Bike Taupo and acknowledes Bike Taupo for use of the track.  The Committee talked about various options for promotion on the day e.g. a stand in the main marque and even having an old pc where people could log on and join.

•         Project list and future goals.  Ideas that were put forward include Acacia Bay to Kinloch track, concession to use Wairakei Tourist Park, adocating cycling in Taupo more, utilisaiton of reserve gullies, supporting the TDC in a monthly bike news column.

•         It seems that the date for the next AGM need not be to on or before October 2004, Pete will find out more from Alan Vane.

•         Pete noted the latest Spoke magazine has a couple of good articles in it
