3.       CONFIRMATION OF LAST MINUTES: Committee agreed that the minutes of 11 September 2003 were a true and accurate record. Accepted by committee (Gerry/Neville)

4.       MATTERS ARISING:

•        Invoice for incorporated society registration fee of $100.00 still not received to date.

•        Post Box - unanimous decision to hire post box for Bike Taupo alone. This was done. Box No is 1850. Lisa and Else to hold a key each although Lisa to collect mail.

•        Jonty is now under control with media releases regarding the Rotary Ride.

6.       TREASURER’S REPORT

•        Accounts are currently with Jo Taylor of Stretton & Co for auditing in time for AGM next week.

•        Summary has been completed of the Rotary Ride accounts. Bike Taupo will have approximately $10 left! The summary will be sent out to Rotary Club in due course.

•        $500 should be earmarked for paying Putuiwi Trust’s agreement fee due in February. Else will diary to pay in January and send off post-dated.

•        Gerry confirmed Bike Taupo received $500 for winning the Sport and Recreation category in the District Community Awards.

7.       SUBCOMMITTEE REPORTS:

Media and Promotion:

•        Postcard - Post Card is completed with the new post box noted thereon. Bike Taupo received full sponsorship in order to print 10,000 (sponsorship from Murray Fleming, Cycle World and Corner Shop) plus free business card size cards.

•        Membership Promotion - Thomas had an idea as an incentive to join Bike Taupo we attach to post card going in races results something that mentions ‘join Bike Taupo before 30 December 2003 and be in the draw to win a ’. All thought it a great idea. Lisa will look at approaching somebody to sponsor a prize.

•        Day Night Thriller - promotion at Day Night Thriller was a huge success - especially walking around with clipboards seeking membership. We now have a membership of 700, thanks to the clipboard team!

•        Display Board - Thomas said we should think about a display board that can be set up easily and quickly at events. Richard will investigate costs.


•        Survey - A survey will be put together for all Bike Taupo members to complete (voluntarily) in January to get an idea on what people think of commuting to work and perhaps why they do not etc. As an incentive to complete survey we can have a lucky draw if completed within 30 days.

Website:

•        Thomas said we need more content and reiterated that the committee can post things on the website with their own access code.

•        Gerry and Lisa said there would be items ready to go in from the Cycle Strategy Team- ie. Pedal Talk column; Free Wheeling Fun Day; the paper presented at the NZ Cycling Conference; the new Cycling in Taupo brochure.

•        Some photos of the Rotary Ride under construction will also be posted.

•        Richard now has all the quotes required to apply for funding to cover the website maintenance.

 

Huka Falls/Spa Park Track - Rotary Ride

•        It’s now completed!

•        Just some maintenance to do on Landcorp land and perhaps another bridge could go in.

•        A slip on the track needs re-doing.

•        Murray Fleming is to repair at his costs some parts of the track used in the Day Night Thriller event.

•        There is now a new sign at the Huka Falls end of track featuring a cycle.

•        DOC will be putting in a sign at Huka Falls end with similar wording and style to the Council ones going in at Spa Park end.

•        Gerry is having 4 signs done leading people to the track. It was agreed one was needed at the concrete ford bridge because of possible confusion on which way to go.

•        The bridges may need an extra railing at the bottom for safety reasons

•        Pete is currently looking into signs for on the track (similar style to the Mountain Bike Club ones) to name certain bridges and perhaps milestones.

•        Huka Lodge Hill needs changing eventually.

Submissions / Funding:

•        It was agreed that Bike Taupo must be neutral on all commercial ventures

•        All submissions should come to the committee to be approved.

•        Thanks to Neville for his work on the Reids Farm Submission

•        A letter will be done to Roger Stokes of TDC requesting cycle lanes in new subdivisions or new developments.

TDC Cycle Strategy Team:

•        Cycle Strategy Team attended and presented a paper at the NZ Cycling Conference on 10 and 11 October. Bike Taupo was promoted at the conference. A video of cycling in Nelson was brought back for the committee to view. It was a good conference with valuable information learned from other communities/cities and ideas shared.

•        Looks as though the budget for 2003/04 will be around $18K for infrastructure and $15K for education. Road widening for Poihipi and Broadland Roads and the ETA were put forward as separate projects. Also possibility of Transfund giving some funding. Starting to treat cycle path changes as more ‘recreation paths’ therefore it applies to all users.

•        2nd edition of the Pedal Talk column goes in Tuesday’s Taupo Times. It will also be forwarded to Thomas for inserted on the website.

•        Hopefully a student will be employed next month for bike counts - particularly commuting cyclists. At the cycling conference it was noted that there is a decline of commuting cyclists showing in Council statistics. Taupo only has 1.4% commuting.

•        Else is looking into gathering a team for completing a walking strategy next year.

8.       FUNDING

•        $15,000 funding from South Auckland Charitable Trust was applied for the extension of an off-road track between Huka Falls and Reids Farm.

9.       GENERAL BUSINESS

•        Wairakei Mountain Bike Trails Looks as though Bike Taupo will take over the concession for tracks through Wairakei Forest. It must be noted however that the Group would never ‘run’ the tracks but can set the rules for use etc. Len and Pete are still hesitant. If this concession ownership goes ahead Bike Taupo will set up a subcommittee to take care of it and perhaps one person from the Bike Taupo Committee would be on that subcommittee to report back to main committee. Horse Treks meeting went well. Chas Hutton is currently writing a concession document. Bill Wheeler seems happy Bike Taupo will take on the concession rights. Chas Hutton is also looking into Public Liability insurance.

•        AGM - 29 November 2003 - Public Notice has gone in last Thursday’s Taupo Times. AGM to be mentioned on an email-out. Lisa is to email an agenda to Thomas for sending out. We will nominate at the start of the meeting what general business there is to be. Pete has completed a Chairperson’s report. Else will complete a Treasurers report, which will also include the audited accounts.

3.          CONFIRMATION OF LAST MINUTES: Committee agreed that the minutes of 26 November 2003 were a true and accurate record. Accepted by committee (Else/Gerry)

 

4.          MATTERS ARISING:

•          Event Signs:  Neville has yet to prepare letters to organisations regarding signs prior to major events.  Richard saw similar signs near Welcome Bay in Tauranga and will investigate with their local council regarding erection and costs.

•          WairakeiForest Park Concessions: The Commissioner of Crown Lands has come back requesting that any group taking over the Craters of the Moons tracks/concessions pay a monthly concession fee of $150 + GST and up to $2,000 - $3,000 per event to the Crown.  Further, events would have to pay a bond for potential damage to the land.  Richard is to respond.  The committee agrees that we cannot and will not want to be paying monthly or yearly fees.  These guys now need convincing the same.

•          Constitution Changes: as follows:

o         Election of 7 seven committee members takes place at AGM.  Then that committee decides on officer’s positions.

o         Chairman may hold office for a maximum of 3 years.

o         Auditing - Richard investigating with Internal Affairs regarding acceptance of reviewed annual accounts to funding institutions.

6.          TREASURER’S REPORT

•          Treasurers Report up to November was received and accepted by the committee

•          Accounts to be paid:

o         Patuiwi use of land fee $562.50 plus GST for the next 6 months due 1 February 2004.  Neville to prepare cheque for sending.

•          Else advised that she wished to resign from the Treasurer’s position and the committee.  Pete nominated Neville Peach for Treasurer and Lisa seconded.  No other nominations were received.  Neville accepted position of Treasurer.  It was also moved by Lisa and seconded by Jonty that Pete Masters is nominated as a third counter signatory to the Bike Taupo account.  All were in favour.  Signatories are now:  Neville, Jonty and Pete and any two of the three must sign any cheques.

7.          SUBCOMMITTEE REPORTS:

Media and Promotion:

•          Jonty wrote an excellent article on the Rotary Ride which featured in the Australasia Parks and Leisure Magazine which goes out to around 2600 members and around 1000 non-members read.

•          Taupo Times articles regarding hit cyclists

•          Website is working in that people are downloading maps for use.  Thomas will send to the committee the link to pick up stats re hits on the website.

•          Cycle Challenge - Pete, Neville, Gerry and Thomas helped with sending out challenge results booklet by putting a Bike Taupo postcard in each booklet - around 8000 went out in total.  Lisa reported we received loads back already by post and handed a pile to Pete to input into the website membership list.

•          100K Flyer - We will put the postcards on the results tables for people to take if they want.  Participants collect their certificates from these tables prior to prizegiving.

 

 

Website:

•          Membership stands at around 810.

•          Gallery is still to be added.

•          There will be a section added to the site encouraging members to join a volunteers list by subscribing to volunteers@biketaupo.org.nz

 

HukaFalls Extension Track

•          Gerry has communicated with Opus regarding the culverts situation along State Highway One and its sounds like a no go.  He was advised that Transit also need to be involved.  Could cost if went ahead around $60,000.

•          DOC has okayed the changes to the track leading from Huka Falls up to Helistar.  The trust monies received from South Auckland Charitable Trust will be used for this project.  Alternative routes need mapping out as there are stairs in the current track.

•          DOC have also enquired whether Bike Taupo would like to fund and change the Aratiatia track hills which are steep and not user friendly.

 

 

Submissions / Funding:

•          Have had the Southern Trust application returned requiring a little more information and resubmitting after 21 January.  Lisa to attend to

•          Richard looking at funding and costs for:

o         Tools to be kept on the Rotary Ride track for maintenance

o         Display stand.

•          Gerry is to approach Jeff of Taupo Rotary Moana Rotary to see if they are interested in funding future projects.  Gerry reminded the committee of the bike frame design, which serves as a bike rack - could be placed around town in focal points with naming rights as to sponsorship. 

•          The TDC Long Term Council Community Plan is currently being worked on and submissions to be made regarding gully systems etc.

•          Application to be made to TDC Community Grant regarding funding to assist Bike Taupo’s administration.

•          Perhaps Bike Taupo could look at income ie. sale of t-shirts with logos and other catch bike phrases on them.  There is apparent interest from members to purchase such items.

•          Else advised that there could be money in the TDC road safety community fund that we could be entitled to.

•          Further the cycle strategy team can apply for funds.

 

 

 

 

TDC Cycle Strategy Team:

 

•          Bike Wise Week:  Bike to Work Day is on 18-Feb and Lisa requested the help once again of Bike Taupo regarding man-power.  She will forward a copy of the flyer to Thomas for posting on the website.  CBD businesses will be forwarded a letter and flyer, it will also appear in the Taupo Times and be talked about on the radio.

•          New Paths:

o         A new ‘share with care’ path is currently being constructed from the reserve from Taupo View Road to Gillies Avenue

o         The Riverbank track has commenced and will go from Control Gates Bridge to Sewerage Plant at this stage.  A new ‘share with care’ path has commenced from Centennial Drive to Spa Park (following County Avenue).  These projects are links and part of the Team’s vision to see an off road path leading from central town to Huka Falls.

o         There will also be a widened path from Kahurangi Drive ( Rangatira Park) to Huka Falls Road and down Control Gates Hill

•          Bike Taupo Requests: The committee said the curb at Spa Park car park needs taking out to make it easier for cyclists to go from the car park onto the grass and the Rotary Ride track beginning.

•          Colour-coded cycle rides:  The team is looking at placing markings on the road colour-coded to coincide with the cycle brochure’s ride circuits.  The first one to be looked at is the Centennial loop 10K loop.

•          Town Cycle Lanes: Green paint will be used at intersections where cycle lanes exist ( Heu Heu Street).

 

3.          GENERAL BUSINESS

•          Bike Taupo Strategic Plan:  2004 goals to be put into next meeting’s agenda.

•          Signage Kimberley Reserve signs have been vandalised again.

•          Kinloch Track:  A good result at the meeting with DOC getting agreement to a lot of things.  The track could go ahead.  LTDC involved and Bruce Jefferies is keeping us informed with progress in this regard (they are looking at the big picture - a track around the entire lake).  Bike Taupo agreed they would only be involved with the track as far as Kinloch.

•          Good Responses - received good response from a lot of people regarding Bike Taupo’s work to date.  A case study of the Rotary Ride will be put on the website to help other communities achieve results for their own projects.

4. INCOMING/OUTGOING CORRESPONDENCE

• Letter in from the IRD on 23rd May confirming date of commencement of constitution on 1st May 2003.

5. TREASURER’S REPORT

Else and Jonty have both been to the National Bank (NB) and signed all the appropriate papers. However NB still require Bike Taupo’s common seal, so if this is still a problem Else may look at another bank probably WestPac.

7. SUBCOMMITTEE REPORTS:

Media and Promotion:

• Jonty responded to another letter regarding the cycle lanes in Heu Heu Street. There has been still a lot of talk on this subject by negative and positive. There was another letter in the paper on Tues 17th May which he will respond to.

• Else and the cycle strategy team sent out a letter to all Bike Taupo members with e-mails regarding the new cycle lanes. Concern was raised regarding the process e.g. It should have been clearer in the letter that this is a letter sent from Bike Taupo on behalf of the Cycle Strategy Team. Thomas and Jonty will respond with letter explaining the Cycle Strategy Team letter with a suggestion to use the forum section of the website to express views, they will also provide a link to here.

• No action on postcard membership forms. However committee still would like to pursue idea and Jonty will get prices for up to 15,000. So that they can be put in race packs eg Day Night Thriller and Lake taupo Cycle Challenge. Committee felt it was also worthy to be considered as a project and therefore funding.

Website:

• Thomas to add 1 or 2 new tabs Projects and Future projects to the menu. This will hopefully create some discussion and what the community would like to see Bike Taupo involved with in the future. There will also be a link to the forum section so views can be expressed here. Three projects were identified to start the discussion off, 1) Kinloch to Acacia Bay, 2) Cycle lane on Spa Road, 3) Control Gates to Spa Park.

• Pete has provided Thomas with some links to other sites, they will be put on shortly.

• The website was found by Kirsten Dent temporarily living in England who will shortly be returning back to Taupo. It showed the accessibility of the Website from afar.

• Thomas highlighted the need for a new Bike Taupo webmaster, Stewart initially filled this role and helped set up the website but is now working from home. This role checks and audits all info onto the site. Thomas currently doing this.

• Further discussion has been had by Thomas with Len and Chris of the Mountain Bike Club. There currently is a link to race results. The Mtb club are going to get back with more info shortly. Discussion over payments have also been had, OK Computer will charge separately for work undertaken for the club, but the club will also pay a portion of the hosting fees.

 

 

Huka Falls/Spa Park Track

• Pete reported that a easement / agreement has been drawn up by Alan Vane and is presently with Patuiwi and awaiting there approval and signatures. The easement will be for a 150-200m x 3m strip of land, it comes with a land access fee of $1000 + GST which we feel is a good deal. It does secure long term access and a right to be there.

• Pete has been in contact with Ground Effect [a group of bikers that make cycling clothing] who have a slush fund to promote cycling to see if they are willing to sponsor an aspect of the project. Their response is they are more happy to sponsor the land access fee of $1000 +GST on the Patuiwi land.

• Pete and Gerry made another presentation to the Taupo Moana Rotary Club which went really well. They updated the club to where Bike Taupo was at with the track and highlighted to them how the funding will be spent and essentially asked for $16,000. Rotary were then going to make a decision within two weeks.

• Rotary Club made their decision on funding the Bike Taupo Project on Monday 16th June 2003. Their decision was unanimous and they have offered $20,000 in funding to the Spa Park Huka Falls Track. This is great news it means the track is getting very close to becoming a reality. They have asked for naming rights and they have nominated Dave Wakelin to be involved in the implementation in the project.

• A small working party [Pete Masters, Gerry Dance, Chas Hutton, Paddy Gordon, Barry Shepherd, Kevin Loe, & Jonty Garlick have been busy over the last few weeks working on the alignment and marking of the track. This is just about complete and the track look is looking really good and should provide an excellent experience for the cyclist.

• Gerry presented the committee with a draft project plan for implementation of the track, it highlighted the stages of the track and a starting point to the process in how the track will be constructed. It also suggests that a subcommittee be formed consisting of

• Paddy Gordon [DOC, Track supervision]

• Chas Hutton [NZ Forest Managers GM,Track supervision, Materials]

• Dave Wakelin [Rotary, PR, along with Jonty Garlick]

• Else Tutert [Finance]

This was moved by Thomas and Neville.

• The first sub-committee meeting will be in the next couple of weeks and a newsletter will also be drafted.

• In summary the Rotary Track is all go, we just need to finalise the implementation plan, we all agreed the project needs to well organised and including volunteer working bees. As the success of this project could very much set the standard for successes of further projects.

• Thomas will also organise a e-mail address for this subcommittee

Submissions / Funding:

• Neville highlighted that the Hillary Commission now no longer exists and has been replaced by Sport & Recreation NZ [SPARC], he followed this avenue by contacting Sport Waikato who are uncertain of how the funding and allocation will now work.

• Approached Lucky Lizard who grant funds under the umbrella of Southern Trust, the forms are quite detailed requiring a lot of info. It was agreed that all will help filling out the forms and there a number of projects that we could initially apply for funding e.g. Website, banner, postcards, parts of the Rotary Track, Legal work from Alan Vane,

• Still a need to develop a list of some facts about cycling e.g. how much a carpark costs, Carpark building etc

Membership:

• Membership is up to around 280 now so it looks as though everyone is talking!!

• Pete highlighted there are 350,000 Mtn Bikers in the country according to the Kennett Brothers

• Mountain Bike Club will hold their 2nd winter series race on the 29th June and Bike Taupo will enter a team (Pete, Thomas, Jonty & Gerry) and also set up a small stand, with the banner and the Rotary Track info

• Aim to have the postcard memberships ready for the Day Night Thriller registration packs.

TDC Cycle Strategy Team:

• Else reported that the changes to the roundabout on Taharepa Road (it will be widened to make road way around it narrower which will decrease the traffic’s speed and allow cyclists to merge safely) will be done in the next financial year

• The Kotare Street island and path widening adjacent to the Kimberley Reserve path end is nearly complete.

• The path widening on Hilltop Reserve & Liston Ave Reserve is about to get underway shortly, Share with Care signs ()similar to Kimberly Reserve) have also been ordered.

• Lisa and the team are working on a brochure featuring Cycling in Taupo. Destination Lake Taupo are keen to come on board and will fund the art work and the Cycle Strategy Team will fund the printing costs. At this stage they are looking at getting 15-20,000 printed

• The team has also been looking at putting in a track between Control Gates and Spa Park.

6.          TREASURER’S REPORT

•          Treasurers Report up to November was received and accepted by the committee

•          Accounts to be paid:

o         Patuiwi use of land fee $562.50 plus GST for the next 6 months due 1 February 2004.  Neville to prepare cheque for sending.

•          Else advised that she wished to resign from the Treasurer’s position and the committee.  Pete nominated Neville Peach for Treasurer and Lisa seconded.  No other nominations were received.  Neville accepted position of Treasurer.  It was also moved by Lisa and seconded by Jonty that Pete Masters is nominated as a third counter signatory to the Bike Taupo account.  All were in favour.  Signatories are now:  Neville, Jonty and Pete and any two of the three must sign any cheques.

7.          SUBCOMMITTEE REPORTS:

Media and Promotion:

•          Jonty wrote an excellent article on the Rotary Ride which featured in the Australasia Parks and Leisure Magazine which goes out to around 2600 members and around 1000 non-members read.

•          Taupo Times articles regarding hit cyclists

•          Website is working in that people are downloading maps for use.  Thomas will send to the committee the link to pick up stats re hits on the website.

•          Cycle Challenge - Pete, Neville, Gerry and Thomas helped with sending out challenge results booklet by putting a Bike Taupo postcard in each booklet - around 8000 went out in total.  Lisa reported we received loads back already by post and handed a pile to Pete to input into the website membership list.

•          100K Flyer - We will put the postcards on the results tables for people to take if they want.  Participants collect their certificates from these tables prior to prizegiving.

 

 

Website:

•          Membership stands at around 810.

•          Gallery is still to be added.

•          There will be a section added to the site encouraging members to join a volunteers list by subscribing to volunteers@biketaupo.org.nz

 

HukaFalls Extension Track

•          Gerry has communicated with Opus regarding the culverts situation along State Highway One and its sounds like a no go.  He was advised that Transit also need to be involved.  Could cost if went ahead around $60,000.

•          DOC has okayed the changes to the track leading from Huka Falls up to Helistar.  The trust monies received from South Auckland Charitable Trust will be used for this project.  Alternative routes need mapping out as there are stairs in the current track.

•          DOC have also enquired whether Bike Taupo would like to fund and change the Aratiatia track hills which are steep and not user friendly.

 

 

Submissions / Funding:

•          Have had the Southern Trust application returned requiring a little more information and resubmitting after 21 January.  Lisa to attend to

•          Richard looking at funding and costs for:

o         Tools to be kept on the Rotary Ride track for maintenance

o         Display stand.

•          Gerry is to approach Jeff of Taupo Rotary Moana Rotary to see if they are interested in funding future projects.  Gerry reminded the committee of the bike frame design, which serves as a bike rack - could be placed around town in focal points with naming rights as to sponsorship. 

•          The TDC Long Term Council Community Plan is currently being worked on and submissions to be made regarding gully systems etc.

•          Application to be made to TDC Community Grant regarding funding to assist Bike Taupo’s administration.

•          Perhaps Bike Taupo could look at income ie. sale of t-shirts with logos and other catch bike phrases on them.  There is apparent interest from members to purchase such items.

•          Else advised that there could be money in the TDC road safety community fund that we could be entitled to.

•          Further the cycle strategy team can apply for funds.

 

 

 

 

TDC Cycle Strategy Team:

 

•          Bike Wise Week:  Bike to Work Day is on 18-Feb and Lisa requested the help once again of Bike Taupo regarding man-power.  She will forward a copy of the flyer to Thomas for posting on the website.  CBD businesses will be forwarded a letter and flyer, it will also appear in the Taupo Times and be talked about on the radio.

•          New Paths:

o         A new ‘share with care’ path is currently being constructed from the reserve from Taupo View Road to Gillies Avenue

o         The Riverbank track has commenced and will go from Control Gates Bridge to Sewerage Plant at this stage.  A new ‘share with care’ path has commenced from Centennial Drive to Spa Park (following County Avenue).  These projects are links and part of the Team’s vision to see an off road path leading from central town to Huka Falls.

o         There will also be a widened path from Kahurangi Drive ( Rangatira Park) to Huka Falls Road and down Control Gates Hill

•          Bike Taupo Requests: The committee said the curb at Spa Park car park needs taking out to make it easier for cyclists to go from the car park onto the grass and the Rotary Ride track beginning.

•          Colour-coded cycle rides:  The team is looking at placing markings on the road colour-coded to coincide with the cycle brochure’s ride circuits.  The first one to be looked at is the Centennial loop 10K loop.

•          Town Cycle Lanes: Green paint will be used at intersections where cycle lanes exist ( Heu Heu Street).

 

3.          GENERAL BUSINESS

•          Bike Taupo Strategic Plan:  2004 goals to be put into next meeting’s agenda.

•          Signage Kimberley Reserve signs have been vandalised again.

•          Kinloch Track:  A good result at the meeting with DOC getting agreement to a lot of things.  The track could go ahead.  LTDC involved and Bruce Jefferies is keeping us informed with progress in this regard (they are looking at the big picture - a track around the entire lake).  Bike Taupo agreed they would only be involved with the track as far as Kinloch.

•          Good Responses - received good response from a lot of people regarding Bike Taupo’s work to date.  A case study of the Rotary Ride will be put on the website to help other communities achieve results for their own projects.

Minutes of Meeting Cycle Advocacy Group - Wednesday 30th July, 2003

3.         CORRECTIONS TO LAST MINUTES:

Committee agreed that the minutes of 18th June 2003 were a true and accurate record. Accepted by committee (Jonty/Else)

4.         INCOMING/OUTGOING CORRESPONDENCE

•         Letter in from Tranzrail, addressed to Chas Hutton re obtaining some old railway sleepers for use on track (request was declined)

•         Letter out to Nick Gurr at Opus (manage the Transit roading network) requesting the possibility of opening up two culverts north and south of Helistar to connect to Wairakei Tourist Park.

5.         TREASURER’S REPORT

Else and Jonty have both been to the National Bank (NB) and signed all the appropriate papers.  NB were still requiring Bike Taupo’s common seal, so the NB will not be used.  They have approached WestPac, where it seems quite simple, the papers have been filled out and the bank account should all be sorted this week.

7.         SUBCOMMITTEE REPORTS:

Media and Promotion:

•         Media and promotion is all organised to kick off once we get the go ahead to start the Spa Park - Huka Falls Rotary Ride.  Simon Makker from the Taupo Times will do a big article.

•         Other media avenues will also be looked at eg Rotorua Daily Post

•         Ground effect will put an article in their underground newsletter.

•         Jontyhas done some great work on the design and words for the membership postcards and business cards.  Once he has completed he will send out to the committee for approval.

‘For Cycling in Taupo’ was the catch phrase

           Will use Quality Print for the printing of the post cards

•         Bike Taupo Banner was put up at the last round of the Mountain Bike winter series.

Website:

•         Thomas has added Projects tab to menu and Jonty has added some excellent words for the new Rotary Ride Spa Park - Huka Falls Track.

•         Some work done on the links section and is now working well to other sites.

•         Thomas informed the committee that the website was hacked a couple of weeks ago.  It was part of a world wide contest, it was easily fixed.

 

 

Huka Falls/Spa Park Track - Rotary Ride

•         Pete reported that an easement / agreement that has been drawn up by Alan Vane and is presently with Lawyers representing Patuiwi and awaiting there approval and signatures.  The easement will be for a 150-200m x 3m strip of land, it comes with a land access fee of $1000 + GST which we feel is a good deal.  It does secure long term access and a right to be there.  Pete noted the draft has had a few changes in the process but overall the outcomes have changed little.  The overall situation has changed little in the past 6 weeks, however he feels confident that an aggreemnt will be signed in the next few days.

•         The avenue of utilising a similar section along the gun club boundary will still be pursued.  DOC have asked Bike Taupo to send the department a letter with the correspondence that Bike Taupo has had with the Gun Club and also their reasons for sayin no.  Gerry and Pete will draft letter in the next week or so.

Submissions / Funding:

•         Nothing to report except the committee has now has several funding forms awaiting suitable projects.

Membership:

•         Membership is still increasing even though we are in the middle of winter.

•       Aim is still to have the postcard memberships ready for the Day Night Thriller registration packs.  It is Spring so it should be a great opportunity to increase the membership.

TDC Cycle Strategy Team:

•         Else reported that the team hope to present to Council in the next month the teams annual report that highlights what the team achived in the financial year 2002-2003.

•         Gerry reported that he will be presenting a paper at this years NZ Cycling Conference in Auckland in October.  He will be talking about the Cycle Strategy and its implementation.

•         The Taharepa Road - Kotare street island has now been finished.  Pete noted that it could do with another couple of rails, which would make it easier for cyclists.  Else will investigate.

•         Pete highlighted that two gully systems have recently been cleared and that it would be a good idea to send a letter to the Council inquiring of the possibilty of a shared paths within them.  Gerry aggred a good idea and that a letter be sent to Barry Hickling the Parks and Recreaiton Manager.

8.         GENERAL BUSINESS

•         Both Pete and Gerry have had a chat to Murray Flemming re the Day Night Thriller event on 11th October 2003.  It was agreed that the use of the track would be permitted subject to several conditions 1) that the track has actually been built and is rideable; 2) that it hasn’t or is raining on the day of the event, as it is considered this could have an adverse affect on the track and 3) that Murray helps us promote Bike Taupo and acknowledes Bike Taupo for use of the track.  The Committee talked about various options for promotion on the day e.g. a stand in the main marque and even having an old pc where people could log on and join.

•         Project list and future goals.  Ideas that were put forward include Acacia Bay to Kinloch track, concession to use Wairakei Tourist Park, adocating cycling in Taupo more, utilisaiton of reserve gullies, supporting the TDC in a monthly bike news column.

•         It seems that the date for the next AGM need not be to on or before October 2004, Pete will find out more from Alan Vane.

•         Pete noted the latest Spoke magazine has a couple of good articles in it
