Urban/Rural Cycle Facilities:

1.      Urban Jungle is an ongoing matter!

2.      Cheal Consultants (Thea) would like Bike Taupo’s input/support regarding ideas for cycle friendly matters in the East Urban Lands development.  Lisa to contact her as point on liaison.

3.      Spa Road – no update from Claire as yet.  Thomas to phone

4.      TDC annual report prepared and we have asked to speak to it.  Awaiting notification from Thunes of TDC re this.

 

 

Media Promotion and Website:

1.       Bike Taupo T-Shirts are in the planning stage and once a proof is ready committee will view them.  They’ll then be put on website for members etc to order and pay (through Nik Eliadis’s website)

2.       Pete has had an interview with Rebecca  Malcolm of Weekender – she is keen to get on board with our cause re press releases and is doing an article on W2K.

3.       We will prepare a “safe cycling” educational feature – through Weekender as we approach cycling season – possibly October (Lisa and Pete).  Possibly using Tenon donation for this.

 

 

 

Maintenance/ Wairakei Forest Mountain Bike System:

·         New track “Mr and Mrs” is excellent and been well used with good feedback

·         Changes have been made to Slalom, Drone and Coaster – endings, bridge and berms – all in preparation for Huka Race in November.

·         Tank Stand downhill has been upgraded and is longer.

·         Taylor’s Bluff has been fixed and is a highway again!

·         Pete2 is looking at realigning the Huka downhill on Rotary as the right turn is pretty scary for some people.

·         Te Totara Gully slip to be cleared

·         Still doing loads of maintenance on tracks following winter weather but on the whole tracks have handled it well.

·         TDC approached BT to maintain the Waikato River walking track which has been done as a contra for timber.

·         Shortly commencing spraying

·         Had a Wairakei subcommittee meeting recently and received good feedback.

 

 

Submissions:

Funding/Projects:

·         Youthtown – Resolution was passed to apply to Youthtown for funding the sum of $20,000 for completion of W2K track.

·         Another Resolution was passed to apply to another Trust for $20,000 for completion of W2K track (in the event Youthtown falls through)

·         Missed out on the Iwitahi Trust hand out

·         Community Road Safety Committee – Lisa to approach Christine as to when the next funding round is.

 

W2K Track

·         Simon Kennett in an article in VO2 Max magazine rated W2K track as the best track built in the last 10 years.

·         Meeting was held with principal sponsors (Merlin Bartley and Titan One) who have now fulfilled their sponsorship obligations.    A publicity shot will be taken of principal sponsors and us receiving the final sponsorship instalment.

·         Still 4 – 5 kms to build (due to the track being this much longer than original estimated length).  We now need to fundraise for monies to complete the track.

·         Keith suggested we think about a donation box somewhere on the track for people to donate funds (possibly half way point of track)

·         Maps are a little unclear and so next run will be amended to feature clearer directions from town centre to track.  Pete will talk to Thune of TDC regarding signage on corner of Mapara and Wakeman Roads.  He also to talk to DoC regarding signage on Mapara Road adjacent to turn off to Whakaipo Bay.

·         Had talks with DoC regarding extensions to W2K .  Also regarding us upgrading Kinloch to KawaKawa Bay track to be bike friendly.  If we do this DoC will still maintain and manage.

·         Keith said Hedwin Brown is still keen to donate a nice seat to the track but wants it fixed at a site that has a view of Kinloch.  Potential site is the current third pine tree seat from Kinloch

 

CAN Update

·         Decided to leave the entry of W2K track in the Cycle Friendly Awards to next year when the entire track is complete.

·         CANDo is in Chch this year and Pete and Thomas have shown interest in going.  CAN said if they stay for the whole weekend they would pay our travel costs.  Thomas to liaise with Anne Gummer re this.

 

Cyclemainia (Cycle Challenge Week)

·         Keith reported that they are seeking funding for a co-ordinator and believe they will need around $2,000 for this to be a paid job.  Bike Taupo passed a motion to advance this $2,000 to Cyclemainia (on the basis that we will be reimbursed through funding we are seeking for this).  Kirsty Clark has been approached to be co-ordinator.

·         Christine Hutchinson and Claire from TDC are keen to play a large part in this festival of cycling.

·         Bike Taupo will host the W2K ride on the opening day of Cyclemainia.

·         Bike Taupo has applied for funding to Youthtown as our  contribution towards the festival.

 

GENERAL BUSINESS:

1.       Day Night Thriller – 13 September 2008 

·         Bike Taupo will marshall for funds at this event once again.

·         Thomas to organise a base for the marshalls. 

·         Maps will be for sale.

·         Pete Masters co-ordinating marshalls. 

 

2.       AGM - November

·         Richard advised he will be standing down as Chairperson this year.  Thinking caps on for elections of new Chair.  Also thoughts as to who is standing again for committee next year.

SUBCOMMITTEE REPORTS:

 

Urban/Rural Cycle Facilities:

1.      Thomas to rally people together for “Urban Jungle subcommittee”.  Lisa to be involved also.  They will endeavour to do this in the next two weeks.

2.      Lisa is chasing TDC regarding taking down 1.5m signage – should have been done in April but still they are up.  By the time they come down they be due to go back up!

 

 

Media Promotion and Website:

1.       Richard said BT has been asked to present their Trust Power National Awards evening presentation at this years volunteer awards ceremony.

2.       Richard has done interviews with The Weekender and Radioworks regarding our second place in the Trust Power Volunteer Awards.

3.       DoC annual report has a piece on the W2K track.  Also Bike Taupo will be partners with Doc during the Conservation Week

4.       Thomas has purchased a mountable video/digital camera.  Can be mounted on helmet, handlebars etc.  He will make use of it and get some footage on website.  Takes up to 2 hours of filming.

 

 

 

Maintenance:

·         Ticking along

·         Pete McFarlane is scoping the new track which will become part of the Huka Ride in the Cycle Challenge’s 70km mountain bike race.

·         There are a few trees down in Wairakei which will be cleared.

 

Wairakei Forest Mountain Bike System

·         A few horse problems – Grazing horses escaping into our track areas. A new fence is to be built to keep them out and Richard is looking into who will contribute towards this

·         DoC is totally rebuilding Te Totara Gully track.

 

 

Submissions:

Funding/Projects:

·         Tenon gave us $750 which is to be earmarked for cycle education.  We will make sure once money is used for this purpose we write to Tenon reporting what it was used for

·         The Lake Taupo Protection Trust has shown an interested in tracks being built as alterative land use.  They have research funding available and we could possible apply to them for Planning Funding regarding either Kinloch to Boat Harbour track or Whakaipo to Acacia Bay.

 

W2K Track

·         Maps have been prepared and Lisa divvied out these for distributing.  She will take 50 to L’Arte, Keith took 150 for the three Kinloch Cafes and Thomas was to tackle the Bike Shops and Info Centre.  Please ensure everyone emails Karyn with numbers these places took for invoice purposes.

·         Boojum Dell end of track looks fantastic with great planting and the new boardwalk.  Residents are very impressed. 

·         DoC are funding Pine Tree control on the track and will poisoning trees away from the track and felling those close to the track.

·         Mike is preparing 3 plaques for the principal sponsors – these to be in the form of a block canvas prepared by Keith.  It will feature 3 pictures of the track and the map.  Also wording “Thank you for all your support in making the W2K Track a reality. .. Bike Taupo 2008”.  Richard stressed this was now urgent to get done.  Thomas to liaise with a designer, prepare and forward to Keith for processing.

·         A seat is to be donated by a community member and the committee assured Keith there would be a spot for it.  The guy would like it in a spot overlooking Kinloch and it was suggested about 2.5kms in on Kinloch side.    The principal sponsors would like to place seating in the three best sites.

 

CAN Update

·         Cycle Friendly Awards are due – and Richard and Lisa have not got to this!  They will endeavour to in the next week.

·         Thomas reported the Digital Strategy is slowing being nationally completed.  Thomas will send out links to it for the committee to view the work to date.

·         CAN have put out an e-petition based on their Nine Point Plan for Cycle Safety.  Thomas to put on our website to encourage people to register and “sign” the petition.

 

 

GENERAL BUSINESS:

1.       Bike Taupo and  Lake Taupo Cycle Challenge Cyclo-Fest 2008” 

·         Keith presented the latest idea from the Trust regarding a cycling festival the week preceding the Cycle Challenge.  This festival will have a range of cycling based activities during the week which will attract many.  The Plateau Bar and Restaurant has shown interest to be the social hub of the festival with happy hours every day from 5:30pm.  With his cycle challenge hat on he asked Bike Taupo if it would like to be involved as a partner.  Richard passed a resolution that Bike Taupo be involved as a partner in the festival.  The committee we all in favour.

 

2.       Eco-Show – 20 October 2008

·         TDC are putting together a stand for the Eco-Show and asked if Bike Taupo would like to be involved.  Richard attended their initial meeting and the committee agreed to this.  Not too much to organise for this – only a roster for the hours to be covered. Possibly look at setting up a screen, windtrainer with “a view of biking in our town ie. Lions Walk to get to work by bike???

 

3.    CAN – Anne Gummer – Networking Co-Ordinator for this Area

·         Anne Gummer would like to visit our next meeting and asked us to let her know of anything in particular we need to raise.  Perhaps Urban Jungle ideas (rallying people) and the Eco Show.

 

4.    Strategic Planning :    The committee is happy with outcome of this session.  Richard has prepared notes and these will be placed on the website.  They will be good guidelines for future projects.

 

5.   AGM – This is coming up and Richard thought we should put our thinking caps on regarding re-electing and standing for Chair.  He is considering stepping down after this term.

Richard B welcomed new committee members (Aniek Van Iersel and Richard Hine) and briefed them on Bike Taupo and how we work (ie. Subcommittees).  He also briefed the committee on Pete Masters and Pete McFarlane's new role of joint Managers of Bike Taupo for maintenance and track systems.  Guidelines for this new role will be determined in the new year.  Chas Hutton is working on a draft document for consideration.

Urban Jungle:

1.      Bike Wise Month – Christine Hutchinson has met with Christine Belfit, Murray Bishop (education safety bike co-ordinator), Andy – Police, Aniek and Richard Hine to discuss this years events.  Richard is drawing up a “Spot the Commuter” campaign.  There will be a cycle skills course for Primary and Intermediate aged children.  Go by Bike day will occur during this time.

2.      Spa Road cycle lanes:  It’s now official and notification given to public that these are legal cycle lanes.  It’s also time for some positive feedback to occur in the paper – Thomas to see if Jonty can do a letter to editor congratulating Council on the legalised cycle lanes.

 

 

Media Promotion and Website:

1.      Postcards Promotion through CAN – being finalised this week.

2.      Features in Weekender Two Tenon sponsored ads have featured in the Weekender.  A third will probably go in during the holiday season, some ideas for this feature include:  Bike Check tick off, Bike rental/hire places, where to get maps, info on cycles.

3.      Bike Taupo T-Shirt – came out good but consensus was to change the font of the wording “in pursuit of human powered transport”  Lisa is liaising with Amy designer and it will be then put on the website with Thomas’ help.

 

 

 

 

Managers Report

·         1 day spraying in Wairakei  left  (for two people)

·         “Mr and Mrs” – thinning started

·         Huka Downhill – realigned  to make it safer

·         Redwoods – need a little work

·         W2K – working on it 2 days a week currently because of the maintenance needed on other tracks.

·         Bumble Bee to Outwards Goods – contractors to build a link

·         Switchbacks – looks like it may be logged

·         Wairakei Hotel would like a permanent track through the back of their land for public use (same line as the Huka Ride) – only need to do our usual signage

·         Aratiatia track requires a lot of work as it gets overgrown quick

·         Retro/luge is apparently outside the concession zone but the Ministry of Tourism – Steve Ferguson said we don’t have to realign.

·         New Track - Totara Gully up to road by Honey Hive

·         The Contact track (used in Huka Ride) can stay open and signs will be put in.

W2K Track

·         Currently 1.2 kms down other track to link with first part of headland track already done. 

·         DoC to put in a toilet and the hole has been dug for this!

·         Had the first major accident on W2K which required helicopter assistance to take victim out.

·         Celebration to be organised for the joining of the two headland tracks.

·         Looking at having a huge macrocarpa table with all first names of those involved in W2K routed in.

·         Kawa Kawa Bay track – We applied and Doc agreed to let Bike Taupo upgrade the current track to improve use for cyclists.  The will continue to maintain after the upgrade.  In this regard Pete has written to Transpower to ask if the application they made for funding for W2K for $80,000 could be transferred to Kawa Kawa Bay upgrade. – Awaiting approval.  

·         27th December and 3rd January will be the Kinloch Plod dates – 9am start 5km fun run/walk – fundraising for W2K

 

Cyclemania:

·         Keith reported that a de-brief was had general consensus was the week was a great start to getting a week of cycling going before the Cycle Challenge.  It can only get bigger!  Hog Dog race will be moved to the Friday night as the men’s challenge was a huge success.  Garth Oakden was a little disappointed nobody showed up to watch his ride.

·         Keith thanked the Committee for all the work re the Huka Ride

 

GENERAL BUSINESS:

·         Cycle conference 2009 – We have applied to host the next conference in Taupo.

·         CBD Urban Structure Plan – meeting to be held in the first week of January

·         Action Plan for 2009 – Richard to email out.

·         Bike Sculpture:  Looking to the Sculpture Trust re a big bike sculpture to go on Spa Road permanently signifying Taupo’s cycle friendly nature.

·         Regular meeting times – it was proposed the Bike Taupo committee meeting dates remain every 6 weeks on a Wednesday but that the time will change to 7:30pm to accommodate new members.  The next meeting will be at Plateau Bar.  Lisa to arrange

Urban Jungle:

1.      Bike Wise Month – Richard H reported that the Spot the Cyclist  campaign is going well.  Go by Bike Day will happen on 25 February.  Bike Taupo has been asked to once assist with setting up cycle racks, a kid’s obstacle course and we will set up our usual Information stand.

2.      Cycle Skills Training – training for school age children for Central Plateau Schools.  A five month challenge with finals at the end of the year as incentives for kids and schools.

3.      Cycle Emblems are due to be repainted

Media Promotion and Website:

1.      Postcards Promotion through CAN – All completed and were handed out at the meeting for distribution.

2.      Features in Weekender Final article sponsored by Tenon will be put in the edition prior to Ironman.  Groundeffect granted use of their article on urban cycling this has been changed slightly to pertain to Taupo.

3.      Letter to Ed – Pete M to remind Jonty about this.

4.      New Website – no progress to date with the CAN network

5.       Our membership – comment made on how it seems large numbers joining per month etc.  Thomas advised this is mostly SPAM and is deleted

SUB-COMMITTEE REPORTS

Urban Jungle

· Bikewise Month is February 2010. Richard and Cath met with Christine Hutchinson and they are all on track. Spot the Cyclist campaign will be back; they are going to pay to do proper media releases; and there’s a family night planned in the Events Centre car park for cycle skills, and a bike tour of some close by facilities like Velodrome and Skate Park, then a swim and BBQ. They will meet again next month. It was suggested they get in with Dion at Youthtown. Go by Bike Day and the Mayoral Challenge will also take place again.

· Cycle Strategy document should be a lot better as Via Strada have been involved in it. Their main input has been ideas and ways to actually implement actions from the Strategy.

Media, Promotion and Website

· Website continues to be a strength of Bike Taupo. Thomas has added the following sections: Media Release; Submissions; Bike Friendly Accommodation links; and Conservation (ie what Bike Taupo does for conservation – stoat control, wilding pines etc.

· More discussion was had on an “Urban Jungle” newsletter (similar to the “Track News”.

Action: Richard H to drive and Thomas to contact Claire at TDC for regular updates

· Thanks to Liane Fraser who has been putting together great media releases.

· Richard presented the policy for Bike Friendly Accommodation. The following accommodation is on our website: Suncourt, Cottage Mews and Wairakei Resort

Managers Report

· W2K – has been recently maintained, scrub-barred, spraying to be done. Whakaipo side has had slips fixed. Next year a digger will go through as there are some areas requiring work due to slippage/camber changes.

· Maintenance at Wairakei has been done and its good have the Huka race as a deadline for fixing up Wairakei before summer. Currently 302 registered for Huka race.

· Rotary ride – have been maintained, with Huka hill realigned and slips cleaned up.

· Pete M mentioned how great it is that people are phoning, emailing any damage as they come across it. Means they can get in smartly fix things with minimal inconvenience to riders.

· There are track counters in and around the Wairakei tracks (Inwards, Lake Hire Link return track, Outback bridge, carpark bridge. One goes in on W2K by the weekend.

· Tank Stand area is classed as dangerous at the moment due to trees coming down since the logged near by. They’ve been kept busy clearing fallen trees especially after big blows. Ride with caution.

· New maps have gone on the boards at Wairakei. Selling lots of W2K maps – already done a re-run since last update. Overall maps sales are going well.

· Replete have misplaced their cycle maps that were on display in café – thought someone collected them for replacing but never got them back. Keep a look out.

· Warwick Hall organised 5 journalists from Australia to do a heap of riding on the tracks around Taupo.

· Pete looking into a problem with the Archery Club and their activities being a little too close to our track near OD Park.

Funding / Projects

We need to shortly look at the funding application for Council which is fast approaching. Cyclists need to send letters of support for what we have done. With track counters in now it means we will be building vital statistics to sell the need for funding and a cycle officer. Taupo is becoming fast a cycle friendly destination.

GENERAL BUSINESS

1. Annual General Meeting

Plateau Monday 30th November 7:30pm. Thomas will send out a notice by email to all members. Richard asked for a note of new interest and current committee members standing again for next year: Keith; Karyn; Lisa; Richard H; Richard B; Aniek; Mike; Cath Oldfield; Thomas Schwarz (Chair)

2. Lake Track

Good progress – an update to be announced at the AGM

3. Annual Christmas Ride and Catch-Up

Date and activity to be announced shortly.

Meeting closed at 9:20 pm

Next meeting will be the new committee and will take place on a dated nominated by them between 30 November and 18 December.
